Use of personal data
Shot collects and processes personal data about you if you:
- Are a member of Shot.
- Donate to Shot.
- Contact us via the contact form, e-mail or telephone.
- Register for events organized by Shot or third parties.
- Perform voluntary work for Shot.
- Rent the rooms (playing hall or boardroom) of Shot.
One or more of the following types of personal data can be collected and processed by Shot:
Personal data:
- First name and last name;

- Date of birth.
Membership:
- Membership number;
- NTTB association number;
- Competition entitled;
- Type of membership;
- Membership starting date;
- Membership end date.

- Payment method.
Data related to youth members:
- Name of the parents;
- E-mail address of parents;
- Telephone number (landline and / or mobile) of parents;
- Any medical data provided by parents.
Shot uses this data (possibly) to:
- Keep its administration up to date;
- Get in contact or maintain the contact with you;
- Send mail to you;
- Place or request to execute an assignment;
- Send newsletters to you by (e)mail;
- Send invitations for events to you;
- Determine and collect the contribution;
- Publish news items on the website (only name, age, results and photos);
- Carry out analyses for internal use only.
Shot can:
- Financial data, including IBAN, paid and outstanding bills, are only consulted by the treasurer and the member administration.
- Personal data of members including name, address, telephone number, e-mail address and date of birth are used by the board and the technical committee.
- Photos and names of members and results are used by the association to publish on social media, website and newsletter and for the “member photo board” in the club building.
- Personal data is collected by the ombudsman in case the ombudsman is approached by a member. This information is not shared by the ombudsman without the consent of the member.
Information, amendments and objection
Right to inspection, rectification or deregistration
You have the right to inspect, rectify or request deletion of the personal data that we have received from you. You can also object to the processing of your personal data (or part of it) by us or by one of our processors. You also have the right to have the data provided by you transferred by us to yourself or, on your behalf, directly to another party. We may ask you to provide proof of identity before we can respond to the aforementioned requests.
If we are allowed to process your personal data on the basis of your permission, you always have the right to withdraw this permission.
A request for removal can never go so far that Shot is unable to comply with its administrative obligations, such as collecting contributions or registering with the NTTB

Provision of personal data to third parties
Shot may provide third parties with the information that you provide to us if this is necessary for the purposes described above.
For example, Shot uses a third party for:

Shot provides your data to the following third parties:
Dutch Table Tennis Association (hereinafter: “NTTB”)
The following information shall be provided to the NTTB:
- Name;
- Address;
- Place of residence;
- Date of birth;
- Telephone number (landline and / or mobile);
- E-mail address;
- Competition entitled yes / no;
- Para table tennis player yes / no;
- Date of starting membership;
- Gender.
The NTTB may use this data to:
- Contact or maintain contact with you;
- Send your membership card;
- Send newsletter by (e-)mail;
- Determine your competition category;.
- Determine the NTTB contribution;
- Perform analyses for internal use;
- Keep track of match results and publish them on various websites.
Event organizers
If a member has registered for an event, the following information can be passed on:
- Name;
- Date of birth;
- Telephone number (landline and / or mobile);
- E-mail address;
- NTTB membership number;
- Gender.
Name, gender, age category and NTTB membership number can be published by the organizer in participant lists and results.
Shot uses third-party services for:
- Member registration;
- Contribution collection;
- Accounting.
We do not pass on personal data to other parties with whom we have not concluded a processing agreement. We make the necessary arrangements with these parties (processors) to ensure the security of your personal data. We use the software e-boekhouden.nl for the above mentioned services. In the general terms and conditions of e-boekhouden.nl, articles 18 to 29 apply as a processing agreement. For managing our internet environment we use the services of Hosting2Go. In the general terms and conditions of Hosting2Go article 7 counts as processing agreement
Furthermore, we will not provide the information provided by you to other parties, unless required and permitted by law. As an example, the police requests (personal) data within the context of an investigation. In such a case we are obliged to cooperate and therefore to provide this information. We may also share personal data with third parties if you give us written permission to do so.
Storage period of data
Shot does not store personal data longer than necessary for the purpose for which it was provided or is required by law.
Shot saves the data of former members unless a former member has given an order to delete the data. Shot uses data from former members exclusively for statistical purposes and mailings for newsletters, club anniversaries, tournaments and / or reunions.
Website
The board of TTV Shot is responsible for the content of the website. The administration of the website is the responsibility of the website committee. This committee can be contacted via email: .
No privacy-sensitive data or personal data are processed and/or stored via the ttvshot.nl website other than the data for which the association is entitled on the basis of the privacy statement (names, photos and results). It is not possible to post comments on the articles.
All information available through links to other websites falls under the responsibility of those websites and their administrators.
Specifically for the link to the Facebook page of Shot, it applies that for posting articles on Facebook the association has permission to publish names, photos and results of members. The association is not responsible for the likes, share and responses that are posted there.
Google Analytics
The website uses Google Analytics to collect visitor data. The settings of Google Analytics are such that they comply with the guidelines of the Dutch Data Protection Authority (version 27 August 2018). This includes that the last octet of the IP address is masked.
Also ‘data sharing’ has also been turned off and no other Google services are used in combination with Google Analytics cookies.

If you object to the use of your name, photo or other display of your data, the rules as set out above under the heading ‘Information, changes and objections’ apply.
